About the Course

This practical workshop provides you with techniques to become more productive in all aspects of your life.  From setting your priorities through to managing interruptions – you can take more control on how you spend your time and Microsoft Outlook can become your personal organizer.  The course combines time management principles with a practical hands on workshop using the time management components of Outlook.

Course Content

Your approach to Time Management

Our personality has a lot to do with how we approach our daily tasks.  In this section you will recognize your preferred style and how you can adapt it to work for you.  We also provide you with tools to track your time and determine what you should be spending your time on through setting goals and identifying priorities.

Time Management Tools

Once you have identified your approach to time management, we then look at some tools that you can use to gain control of your time.  Actions plans, diaries and to do lists come in all shapes and sizes and we look at some common ones including those in MS Outlook that can assist you to be more productive. Once you have chosen your tools, you can then pull them together in your Management Folder.  The Management Folder will become the nerve centre of your newly organized life.

Time Waster Control Techniques

Throughout the course, we will look at some techniques to control common time wasters such as the telephone, visitors, meetings and paperwork.

Time Saving Tips for Email

  • Use time saving templates
  • Getting the most from your address books/contact lists
  • Establish a filing system to manage your mail
  • Colour coding incoming messages to visually prioritise you mail box
  • Create an auto signature
  • Set up rules for Outlook to automatically manage your mail
  • Drag mail to your calendar to automatically schedule tasks
  • Let Outlook notify people when you are out of the office

Working with Calendar

  • Change the calendar display to reflect how you work
  • Use colour coding on appointments for visual prioritization
  • Use drag and drop to reschedule appointments
  • Automatically schedule regular meetings, anniversaries, functions

Task Pad

  • Display the task pad on screen with your calendar
  • Create tasks and schedule start/end dates
  • Set priorities
  • Drag tasks onto your calendar to make appointments
  • Use the project management features of the Task Pad
